All of this knowledge manifests itself into enormous amounts of documentation, such as reports, process descriptions, drawings, minutes of meetings, and so forth, all of which needs to be organized and archived. Being able to maintain a clear overview of all the information in this documentation becomes harder as the paperwork grows. If you must retrieve specific pieces of information, you will have to go manually through all the documents, which can become a very time consuming process, even if you have a proper archiving system. And needless to say, losing any or all of this information can pose serious strategic, legal and profitability issues. Obviously, each of these variables translates into real money for companies. In fact, a recent study conducted by a leading consultancy firm estimated that by 2003 “knowledge workers” could spend up to 40% of their time on document-related tasks. This research also concluded that 25% of enterprise documents are misplaced and will never be located and that 20% to 45% of labor costs and 12% to 15% of corporate revenue are spent on document management. Taking all of this information into account, companies that are serious about the management of their knowledge know they need an easy-to-use, safe and fast way to store and retrieve their information.
